FREQUENTLY ASKED QUESTIONS

A: Flight routings have been pre-secured by McCarthy Tétrault from major Canadian cities, New York and the UK to Austin, therefore you will not be provided a choice of flight options.

A: The Austin 2022 – All Lawyers Meeting is intended for McCarthy Tétrault employees only. Bringing a significant other is discouraged. Significant others and/or children will not be allowed to attend program sessions, meals and/or program events. The Austin 2022 – All Lawyers Meeting is designed for firm members to come together as colleagues, and it is expected that planned events will be the focus for our lawyers. However, if you choose to bring a significant other, guestrooms at the Fairmont Austin accommodate two (2) adults at no additional charge. Children under 18 years old are complimentary if staying with their parents. A maximum of four (4) occupants per standard guestroom are allowed. For women lawyers who are nursing, please refer to the McCarthy Tétrault Parental Travel Companion Policy via this link: Protocol for Travel Expense Reimbursement for Women Lawyers Who Are Nursing (sharepoint.com). MT Travel Concierge is available to book your significant other’s air requirements once details have been provided.

A: Please indicate on your registration form that you wish to bring a significant other and complete the significant other registration fields. Once your registration is received, a representative from MT Concierge will contact you with further details.

A: For employees who choose to bring a significant other with them, significant other flights (flight to/from Austin) will be at the employee’s expense (except for a parental travel companion – refer to the McCarthy Tétrault Parental Travel Companion Policy under 'Travel Information' tab). MT Concierge can assist with booking your significant other's flights, or you can book through your own provider if preferred.

A: Yes, extensions are allowed three (3) days pre or post program dates. Extensions at the Fairmont Austin are based on availability at time of request, at the double-occupancy rate of $250.00 USD per night plus taxes and fees ($296.09 USD total per night). If you wish to extend, please indicate that on your registration and a representative from MT Concierge will contact you to confirm your extension request once availability is confirmed with the hotel, prior to booking your air ticket. Your credit card will be used by the hotel to secure your extension nights and will be charged at check-out.

All personal extension nights are subject to the hotel’s 72-hour cancellation policy (cancelling within 72 hours of your arrival date incurs a one-night penalty). If you need to cancel a post program extension after you have checked in, a one-night cancellation fee will apply.

A: Overall, dress is smart casual on the program. Smart-casual is the recommended dress for speaker sessions and evenings. It is important to bring comfortable clothes and light jacket for the evenings is also recommended. Evening events will be held outdoors, we would recommend flat or wedge footwear.

A: It is strongly recommended when travelling outside of Canada that you have out-of-country medical insurance. McCarthy Tétrault employees have travel medical insurance as part of your benefit package.

A: Final Austin 2022 – All Lawyers Meeting information (along with e-tickets) will be emailed to all attendees the week of October 17. If you are travelling on a charter flight, your charter e-ticket will be sent to you without seat assignments. Seat assignments have been completed and Air Canada will be uploading your confirmed seat assignment into their system that will allow you to check-in online within 24 hours of your travel. Online check-in is permitted within 24 hours prior to travel on www.aircanada.com. When on the Air Canada website, click on ‘my bookings’ and use your e-ticket locator number and last name to view your seat assignment and check-in to obtain your boarding pass. You may also check-in for your flight when at the airport.

A: CPD Accreditation information for selected sessions during the Austin 2022 – All Lawyers Meeting will be sent out shortly after the retreat

A: The activities offered on October 28 & 29 are at your own expense. Your credit card will be used to secure your participation if you choose to select an activity. Costs noted are per person in CAD. For details on the activities offered, please see the ‘Activities' tab.
